Change Your Personal Information

If your basic personal demographic information is incorrect on Luther systems (e.g. misspelled address, name change), we can help you correct that information. 

Students

Name

Students can either update their legal name or pick a chosen name that is reflected throughout Luther’s systems where possible. Students should begin by reviewing the “Chosen Name and Gender Identity Policy” in the Student Handbook, and then contact the Student Engagement Office at students@luther.edu.

Address or Phone

Send an email to the Office of Financial Services at studentaccounts@luther.edu. Include your ID number and reason for the change.

Note: this doesn’t affect your phone number as it pertains to your ability to log into services like email and Norse Hub—For help logging in to any service, contact the Technology Help Desk.

Social Security Number

Bring your new Social Security Card to the Student Employment Office in Main 28 or the Financial Aid Office in Main 27.

Major/Minor

The Registrar can help you declare or change a major/minor.

Add parent, guardian, or other proxy

Parents, guardians, or other people you designate can be granted limited rights to your information through Norse Hub. If you don’t see someone listed as a potential proxy in Norse Hub, use this form to request that they be listed as an option in Norse Hub. Processing can take up to two business days, after which you can grant that person rights.

Restrict all access by requesting a Privacy Flag on your record

If you have reason to restrict access to your information, please visit the Student Engagement Office, room 266 in Dahl Centennial Union or call 563-387-1020.

Change Campus Directory photo

The Campus Directory uses the photo from your ID card by default. If you’d like a different or new picture in the directory, you can submit a new ID photo.

Employees

Name, address, phone, Social Security Number

Employees can change their legal or chosen name, their address, phone, or Social Security Number through Human Resources at hr@luther.edu.

Note: Changes to your phone number through HR does not affect your phone number as it pertains to your ability to log into services like email and Norse Hub—For help logging in to any service, contact the Technology Help Desk.

Change Campus Directory photo

The Campus Directory uses the photo from your ID card by default. If you’d like a different or new picture in the directory, you can submit a new ID photo.

If you need a photo to be taken for the Campus Directory and/or for a website profile, schedule an appointment with Armando Jenkins-Vazquez (jenkar01@luther.edu) or stop by the Marketing and Communication department in Union 213 on the second Thursday of every month between 9 a.m. and 4 p.m.

Alumni

Use the Alumni Update form for almost all changes, including changes to the Alumni Directory.

Parents

To update your contact information, including name, address, or phone number, email development@luther.edu.

 

FAQ

Generally, no. By the time a student actually arrives on campus or an employee starts working, their Norse Key has already been tied to potentially dozens of interrelated systems and would be next to impossible to unravel.

If your surname changed, then we can update your username to reflect your new name. Email helpdesk@luther.edu to get started. Your new username will still match our parent proxy username convention (e.g. surname1234567)

When you get an email that uses an incorrect display name for you, neither Luther nor Google can correct that for you—you need to contact whoever first added you to the thread and ask them to correct their own contact record for you, creating a proper contact record if they don’t already have one. In most cases, the sender didn’t consciously misname you, they simply have an auto-saved name from your very first email exchange. This fix won’t affect existing threads, but it should be reflected in new threads.

This is a quirk of email in general—it’s an early decentralized technology and wasn’t designed to accommodate name changes. You’ll need to request this change from every one who you emailed prior to your name change, and it’s very likely that you’ll always continue to receive stray emails that use the wrong name.
