Luther is using Zoom Phone Voice Over Internet Protocol (VoIP) phone system. The college selected this cloud-based phone system as a complementary tool integrated with Zoom Meeting.

Zoom Phone works with the Zoom software you’ve used for meetings and webinars. You can make and receive phone calls from your computer and mobile devices including your laptops, tablets, and smartphones. You have control over when calls ring on your devices and how you receive your voicemail. Watch the 2-minute Zoom Phone App Overview.

New equipment (headsets/earbuds for softphone users, and physical phones) is distributed by ITS.

Getting Started

Phone Types

  • Softphone: A softphone is any computer or smart device that allows you to make or receive phone calls through the use of the Zoom Phone Desktop App. For most Luther employees it will be your Luther-provided computer or laptop along with a new Luther-provided headset or earbuds.
  • Physical phone: PolyCom VVX 350 (see “support videos” tab). While traditional physical phones are in certain locations, the college encourages adoption of softphones (e.g. computers or other devices utilizing Zoom software) which can take advantage of the new features.

Note: Employees also have the ability to use the Zoom smartphone app on their personally-owned or employee-owned phone when on-the-go or working from home.

Yes. You can still dial on-campus 4 digit extensions.

No! Dial the area code and number without prefacing it with 9,1. Note that personal calls, even local calls, should be made using personally-owned devices.

  • Online through the Zoom portal at luther.zoom.us
  • On your physical phone via the voicemail button
  • On your smartphone through the Zoom app
  • In your email account with the transcription of the voice and a sound file of the actual voicemail

No, as long as you are on WiFi using the Zoom app and logged in with your Luther credentials. Some data rates may apply if you are not using WiFi.

No. If you make a call from the Zoom app on your phone, the people receiving your call will see your Luther College phone number.

Yes! In fact, managing shared service lines is easier in Zoom.

Yes, you can absolutely use a headset. If you did not receive a headset prior to migration, please contact the Technology Help Desk.

No. You can hide notifications of incoming calls anytime you wish, or instead choose to let the call arrive and determine whether to send it directly to voicemail, put your meeting on hold to answer it, or even merge it into the meeting you are having.

In the Phone tab of the Zoom app, there are sections for call history, voicemail (with transcription), and phone lines that you have access to.

Zoom automatically emails you both an audio and text transcription of your voicemail. This can be disabled if you prefer not to receive voicemails in email. Regardless of this setting, you may log into Zoom to hear these messages.

Zoom calls can be forwarded to smart phones, flip phones or landline phones as needed.

Yes! With the new phone system, additional options become available while you’re in a call such as the ability to add another person and turn it into a conference call. To learn about this “Add Call” function, visit Using in-call controls.

Use Google Docs to write and keep track of all your voicemail greetings. Copy/paste your greeting into the Text to Speech window at luther.zoom.us, choose which “voice” to say your message, and be sure to listen to the recording. To make changes, edit the text in Google Docs and copy/paste into a new greeting. Trash any unwanted greetings.

Business hours default to 8-5, Monday-Friday in Zoom. Outside of those hours, your calls will go straight to voicemail. If these are not your working hours, sign into luther.zoom.us and adjust them. Please confirm the text that displays in the Zoom App under Phone > Lines is accurate and report discrepancies to the Technology Help Desk.

1. Turn “do not disturb” on and off through the Zoom softphone app on your computer or other device.
2. Adjust your phone settings at luther.zoom.us
3. “Hide incoming calls while in a Zoom meeting” through the Zoom softphone app

1. Go to luther.zoom.us, choose “Phone” on the left side, click on Settings. Scroll down to “Emergency Address”.
2. The “Default” will be 700 College Drive, Decorah, IA 52101 (leave as is).
3. If you ever work from home or elsewhere, click on “Personal Emergency Address” and add that location(s).
4. Go to the desktop/softphone app, click on your initials/picture in the upper right corner, then click on “Settings”, and then “Phone”.
5. Make sure the box is checked to allow “Location Permission”.
