Interlibrary Loans

  • Interlibrary loans are either books that are borrowed from other libraries for use by our patrons OR books from our collection that are loaned to other libraries for use by their patrons.
  • To place an Interlibrary Loan request, patrons should click on “Interlibrary Loan (ILL)” under Tools (the second column) on the library web-site.
  • Patrons may request ILL renewals by following the prompts once they are signed in.
  • ILL books are shelved alphabetically by patron last name on the ILL Hold Shelf.
  • To check out an ILL: Click on browser tab with ILLiad Web Circulation page (https://illiad.luther.edu/ILLiad/WebCirc/Logon), sign in, scan transaction barcode on ILL slip attached to book in the box under "Quick Tasks" on the web-site. De-sensitize all ILL books before handing them to the patron.
  • If, upon checkout, you receive a message that the item was "not checked out" due to the fact that it is "already checked out to the patron," this is fine. You may have accidentally scanned the barcode twice, or it might be an in-library-use-only item that has already been picked up once and then returned to the shelf until the patron comes back to use it again. Go ahead and let the patron have the item.
  • If, upon checkout, you receive a message that the item was "not checked out" due to the fact that it was "never picked up," jot the transaction number down on notepaper but go ahead and de-sensitize it and hand it to the patron. Then leave the Circulation Desk Supervisor a note with the transaction number(s) explaining that the system would not let you check it out. If, for any other reason, you can not complete an ILL checkout (the Internet is down, the system is down, etc.), follow the same procedure: jot down the transaction number(s) and leave the Circulation Desk Supervisor a note, but go ahead and let the patron leave with the item.
  • When ILL books are returned, simply place them on the appropriate shelf in the pre-shelving area. There is no other checkin procedure at the circulation desk. Do NOT return them to the ILL Hold Shelf.
  • If someone asks to pick up an ILL during business hours and there are none available for them, check with the ILL staff in the back room to see if they have yet to bring books received that day out to the Hold shelf.
  • Some ILL materials are restricted to in-library-use-only, typically microfilm materials. There is a Hold area below the regular ILL Hold Shelf for such materials. These materials should be placed back in this area when they are returned unless the patron specifically says they are done with them and checks the box on the pink slip inserted in item. If the patron IS done with them, the materials should be placed on the ILL shelf in the pre-shelving area for return shipment.
