Notes from ITS Council - 8/1/18

  • New Items
    • Transition to new cable tv system
      • A variety of items will need to be addressed mainly by Student Life and Physical Plant including exact dates of installation, informing students [including early arrivals] again about the details of the change, testing of the connections in all of the identified active locations, availability of Sims/Dish on move-in days, and ITS monitoring wireless service in residence halls as more streaming services replace cable TV.
    • Default settings in Google
      • Google default settings for meetings are causing a problem when scheduling conference calls. Can default settings be changed system-wide?
        • Adam will look into whether the hangouts meet phone number can be removed separately from the hangouts meet meeting, or if both need to be the default.
    • Cable TV budgeting
      • ITS budget line items referring to cable tv service will be removed since it will now be paid out of a different department.
    • Update on Colleague Self Service for Web Time Entry
      • During the pilot of summer student workers using Colleague self service time entry in July, Jean Ryan and Missy Flack discovered that Colleague is not able to process payroll from self service and a batch of time entries from the Dining Services time entry system (that uses ID cards to clock in/out).  Student workers were asked to use my.luther again for their summer hours.
      • Jean Ryan researched the batch time clock issue and found that Ellucian plans to release a fix for this problem in 2019.  This changes our plans to use time entry for student workers. We will not using Colleague self service for student time entry for the Fall semester.
    • Bi-weekly payroll for student workers
      • Admissions and Student Work have decided to pay student workers on a bi-weekly instead of monthly payroll period. Jean and Missy are preparing for the change to a bi-weekly payroll for student work. The first bi-weekly payroll for student work will start on Aug 29th.
    • Digital Signage
      • Admissions is showing Channel 17.1 because Facebook posts aren’t displaying on their channel
      • Meeting 8/13 to discuss new design.
  • Returning Items
    • Spirion
      • Diane will monitor and schedule Spirion reports in Jacob’s absence. The Information Security analyst role is included in the ITS position requisition to fill Jacob’s vacancy.
    • Information Security Committee
      • ITS members of the committee will complete a secondary review of “Network Use” components to see if any additional changes are necessary.
