Notes from ITS Council - 9/27/17

  • New Items
    • Emergency Response Team Backup
      • Corey reconvened the Emergency Response team. One work item is to identify a backup for each ERT backup. We discussed the idea will follow up with a selection.
    • Alumni Office Considering a New Solution
      • The alumni office is looking at options to improve information management and communications with Alumni. Marcia will participate in researching options as an early step for the IT Acquisition Process.
  • Returning Items
    • New Development Software for Web/Planned Giving
      • A meeting is scheduled for Monday at 1pm to look at one of the options. Key is understanding the architecture to understand requirements for access and integration as well as to understand the information that the solution will be dealing with and the risks and protections that are appropriate
  • ITS Operational Reports-  
    • Network & Systems
      • Adam shared a graph that plots the amount of storage our SAN has and is currently utilized. It was was upgraded over the summer and is much larger. We discussed the fluctuations in the curve and possible explanations. Adam will follow up with Chris to better understand the dynamics.
    • User Services
      • Diane shared updates on a number of ongoing projects. 2 Step Verification  is now complete for incoming students. Diane had contacted approx. 40 students. We discussed where responsibility should be allocated for setting 2 Step up. New students will be notified many times that they need to set it up. Is it good service to personally assign someone to chase them down when they don’t set up 2 Step knowing they will have some trouble and frustration when they ignore the task and they are locked out of their Norse accounts? Or, should they be expected to be responsible and work through the learning that comes from consequences when they ignore that task. The project to separate admin privileges from standard user accounts continues with faculty. As we have conversations about frequency and urgency for needing admin privileges accommodations are being made. Homecoming preparations being finalized. Three additional THD students have been hired and Multimedia and Workstation Support student hiring continues. The hardware room opened Monday, Sept. 18. The backup system called Networker is being upgraded and work continues. VMWare consulting work is complete and the assessment work has started. Admissions is getting digital signage. Hardware and license acquisition is in progress. Dennis is working on the emergency phone installation in the college apartments and after that he’ll move to Baker. When they are in room phones will be removed. After this the emergency phones will be installed in Farwell and Towers. The installation of Enterprise Connect project is resuming. This helps mac users keep their machine passwords in sync with their Norse credentials. Staff computer refreshes will begin soon.
