Notes from ITS Council - 2/7/18

  • New Items
    • GSuite for Education Offering a Free and Enterprise (for fee) Version
      • We discussed the offering from Google for their Enterprise GSuite. We began a conversation about the added features, what other services they might replace and how we might evaluate the possibilities.
  • Returning Items
    • Emergency Response Info - Storage
      • There was a recent CLAC thread on where folks were storing their emergency response information. At the college wide level this is an issue for Corey’s Emergency Response Team. At the ITS level we talked about the structure of our documentation as Reason pages and how to get it into book form so we might consider some of the storage options.
    • Update on Service Level Agreement for New APC Application
      • Andi Beckendorf, chair of the APC committee, has set a meeting on 2/15 for Kevin Kraus, Kent Lee, Kristin Swanson, Marcia Gullickson and Andi Beckendorf to discuss.
    • 2 Factor for Colleague Update
      • We’ve not been able to allocate time to work this. Marcia Gullickson will look at exploring some alternative staffing options to make progress on this item.
    • PaaS
      • Eric Runestad and other OFS members are analyzing the details of the agreement.
    • Towers Wireless Update
      • Adam shared decisions and plan options for an upgrade to Tower’s wireless. This would be a Spring Break and Summer project. Goal is to unify support on one platform.
    • Admissions Application
      • Admissions has inquired about a new application. The vendor has returned our IT Risk questionnaire. Marcia Gullickson will do initial review and risk assessment.  
  • ITS Operational Reports
    • Software Development
      • Colleague User Interface 5.4
        • The new Colleague UI 5.4 is available to a select group of users.
        • Known 5.3 issues are being retested by ITS and users affected by the known bugs
        • New links will be replaced on the colleague.luther.edu landing page soon.
      • Colleague Self Service
        • Dustin Cote has version 2.18.1 installed on the Colleague Self Service test site and NorseHub.luther.edu
        • Missy Flack is ready to have a small group of Financial Aid and HR student workers and their supervisors use Colleague Self Service Web Time Entry once NorseHub is available.
        • The Registrar’s office is reviewing course offerings to confirm what they want to display in the Colleague Self Service Course Catalog.
      • Regroup Update  
        • Regroup is installed and live
        • Software Development is working on automating the nightly update from Colleague.
        • Jean Ryan is working on the removing persons when they are no longer at Luther.
      • Content
        • Jane Miller will be add the remaining campus AP Invoice processors to the system.
        • Jane Miller will work on Journal Entries workflow next.
        • Tom Tague researched new high speed scanner functionalities and prices.
        • Perceptive Content FAQ & Content Basic Training are published on the ITS website.
        • Hyland suggested using indexing eForms to interface Content to Colleague and Tom Tague is learning how to develop eForms while we are waiting for Hyland to enable them for us on their servers.
      • Spirion Update
        • Meeting with members of the TRIO office on Thursday.
        • Residence Life Scanning has been completed and remediation is the next step.
        • There are some issues that continue to be worked through support tickets including Ignore Lists are not retained when you rerun a report. Software Dev report repeatedly includes files that have been marked ‘ignore’.
        • Jacob Secor now has a report to inform him of failed scans.
