Notes from ITS Council - 11/1/17

  • New Items
    • New Software Acquisition
      • We are engaging with Mike Johnson in the Mathematics Department. He is evaluating information technology to support the new Math 100 course. This is a new course for those that need preparation for Calculus. Because this is academic software with Diane and her team support she and Marcia will co-lead the Information Technology Acquisition Process. They will reach out to Mike to get the process underway. We have leveraged a SaaS version of Sage this term as a urgent mitigation for a unreliable Sage service due to Sage software level and operating system incompatibilities. We need to follow up with understanding the broader, longer term usage of Sage software to come up with a good long-term solution.
    • Information Technology Acquisition Policy - Communication
      • We talked about how we might socialize the College process. Paul will work up content for a blog post that we’ll review and then Diane will push out a short item in appropriate communications (e.g. Bulletin, DeaNotes, and Tuesday) referring to the blog post. The goal is that the community become sufficiently aware of the process such that when they are going about information technology acquisition they know enough to reach out so we can collaborate.
    • ITS General - November 7th- Agenda items
      • We discussed agenda possibilities. One main item that surfaced was getting a tour of the Maker Space. Patty will see if it would be possible in our regular time slot and if not find a slot that works for them and as many of us in ITS as possible. We would try to plan having our refreshments there. Another topic we need to share information about is a planned KATIE Upgrade.
    • IT Services - Emeriti
      • We had a request to document what IT services we provide to Emeriti. We discussed a number of them we could further check into and provide as feedback to the request.
    • Color Printing for Students
      • We worked through an issue this week where the student color machine in Preus was offline for service/parts and simultaneously the color printer in the Document Center was busy printing the programs for the Reformation Day event. There was a class of students who had a project due that required some colored pages. To mitigate this case we offered to have the Technology Help Desk print the necessary color pages for the students with staff color printers. Some were also printing later in the day at the Document Center. We talk through the suggestion of investing in additional color printing machines so that students would have additional options should this happen again. We’d not seen such occurrences (both student color printers unavailable to them) in the past so deem it rare. We will monitor the situation to see if there are more instances that we are not aware  of that would support the idea of additional student color machine investment.
    • Update on Service Level Agreement for New APC Application
      • Marcia will work with Brad to develop a schedule for the implementation of the multiple APC access groups so that we can provide a reasonable way for a non-faculty group and a faculty group to access the system.
    • Update on Residence Hall Phone Proposal
      • Dennis is making progress in college apartments. There is a good deal of up and down ladders and crawling in small spaces.
    • 2 Factor for Colleague Update
      • Adam is scheduling a session with a vendor that may have a solution that works at the ADFS authentication level and would essentially “wrap” Colleague. He is also working with the vendor on model pricing. Dustin and Chris are working on tying the new Colleague Self Service to ADFS. My.luther.edu could also do ADFS and it is a question about the cost of making the change to support 2 factor vs. the value based on how long before that service is fully replaced and retired.
  • Returning Items
    • Classroom Renovation Proposal Updates
      • Met with Jay to discuss  pulling down the ceiling in the Loyalty Board room so we can do get access to do the proposed AV work and then putting it back up. Jay is working with a vendor to get a proposal. Re-installing will need to deal with a new projector mount. An alternative is replacing the current setup with a drop ceiling that would provide ongoing access but would have a much different aesthetic. We also discussed the merits of touch screen controller placement to support the ability to move the presentation furniture.
    • ITS Workstation Scans
      • We discussed trade-offs and value of running PII scanning reports weekly or monthly.
    • PaaS
      • We discussed how we might move towards more specificity in the PaaS proposal for devices and pricing and the need for change control. We have two requests for replacement devices and discussed how working those two requests relates to the process of finalizing decision on PaaS.
