Notes from ITS Council - 10/11/17

  • New Items
    • Google In-App Passcode Feature
      • We understand Google is discontinuing this function. We discussed if there is a way to find out who is using it to give them a heads up? That led to further discuss about establishing a policy that if Luther data is being accessed by a mobile device that the device have a pass code to unlock the device. We further discussed a Google MDM (mobile device management) app that we should investigate.
    • Christmas Cheer
      • We plan to collaborate with the library team and participate.
    • ReGroup kick-off call
      • The kick-off call is scheduled for Thursday at 2 p.m. Adam, Lane, Marcia, Jean and Dennis will be invited from ITS. Julie & Bob Harri will participate as well.
    • Cable TV Committee
      • Corey and Eric are working to scope the project.
    • e-Portfolio Pilot
      • Kristin Swanson from the admin team for the sophomore initiative pilot has questions about Google Sites as a possibility. Marcia will follow up.
    • Energy Monitoring of Mamac meters
      • Adam will set up firewall rules to safely expose access to these devices from only the specific Beloit machine that will read the information. Web Content plans to have Beloit host the visualization of this information at Beloit using code from a Beloit student project.
  • Returning Items
    • Homecoming Feedback
      • From ITS perspective things went well. Equipment stayed where it was placed at the venues prior to the events. There were a couple additional events that popped up over the weekend not related to Alumni Dept.
    • Self Service for Faculty re Temp Admin Rights
      • We discussed changing the pilot model to enable faculty to self service access to the script that temporarily elevates privileges needed to install software.
    • Sage Update
      • Diane and Matt are going to pursue faculty to determine how to support Sage with SaaS solution. We need to understand who leverages Sage in their teaching and learning.
    • 2 Factor for Colleague
      • Marcia set a meeting on October 26th with Dustin, Chris, Jean, Adam, Diane, and Paul to discuss what Ellucian has delivered for Colleague Self Service, Colleague UI and WebAdvisor. Adam will share information on options of which he is aware. Diane will look into Internet2 pricing.
  • ITS Operational Reports
    • Network & Systems
      • Adam shared graphs showing the wireless network demand and performance during the time when there was a complaint of slowness getting through the Reason to a Google form for some classroom work. The information demonstrates the slowdown was not from the network. Subsequent work by the Reason team to implement a caching solution for events may have solved the issue. Adam also showed graphs of the load on our two Internet pipes. The ratio of traffic between them is perfect and the load seems similar to last years peak at this time. Christmas will bring a whole new set of devices that will help contribute to demand. Adam also shared information to explain the curves on our SAN storage utilization. The two upticks represent new file servers. At some point the old servers will come off line and we anticipate downticks in utilization to roughly match the upticks. Adam shared some thoughts on improving the wireless support in the President’s residence.
    • User Services
      • Diane provided updates on a number of projects. She showed information on the most recent workstation roll focused on Mac computers. In cases where the Macs could not be “supercharged” some were updated only with new software and others were swapped with devices in inventory that we could “supercharge.” Other Macs were supercharged and there were a few that elected to move to a Windows machine. We discussed a number projects that concern AV support including digital signage, monitors and cameras to support meetings and some issues such as failing amplifiers. Quotes are being put together for some of the bigger Christmas break AV projects that will require prioritizing and decisions. Components for the next staff roll have been purchased. 3 students each have been hired to support the Digital Media Center and the Technology Help Desk. The Spirion PII project has resumed. The emergency phones are going into the college apartments over break. Some cleanup is underway to get the Sophos client installed on the last few machines in the inventory.
