Notes from ITS Council - 5/17/17

  • New Items
    • Valley Cam
      • A camera has been installed to watch over the tennis courts and stadium field. It is intended to capture work this summer on the tennis courts and football field. Called valley-cam because it will remain up and running after the construction is complete. https://www.luther.edu/valley-cam/
    • Sophomore Initiative
      • The LC #4 Learning Community committee of the CIC-NetVUE project has made their recommendation for student ePortfolios for this Fall.  ITS will meet with Kristin Swanson and Jeff Wilkerson to prioritize and schedule the ITS work for authentication and staff, student, and course information for the Digication implementation.
    • ATP Committee Question
      • Jeff Dintaman asked for information on how to cleanup and wrap up a year. Marcia will follow up.
  • Returning Items
    • Update on Reeher  Implementation
      • The reports to produce the data for first set of 8 ‘priority 1’ files of Colleague Alumni and Development information are complete and being tested.  Reports were run on production data over the weekend and the files were provided to Reeher for initial evaluation and data analysis. Work on ‘priority 2’ files will resume after some critical graduation preparation work is completed.
    • Year End Project Prioritization
      • We continue to prioritize candidate projects for remaining operational funds. This week, in conjunction with Eric, we made the decision for the wireless upgrades for this summer. We further made decisions on some small software items.
    • Service Level Agreement for New APC Application
      • No update. Marcia will schedule a meeting with Brad.
    • Admin1 Transition Communication
      • A new Admin1 server has been built. Transition to the new server is scheduled for May 24-25. In preparation for the transition to the new file server, all staff are asked to shutdown their computers at the end of the day on Wednesday, May 24. The admin1 file server will be changed to read-only at 5 p.m. on Wednesday, May 24. The transition will occur Thursday, May 25, during the morning maintenance window and will be completed by 8:00 a.m. Contact the Technology Help Desk at x1000 with questions.
    • Alumni Norse Key Accounts
      • Diane will talk to Sherry about options to disposition the alumni Norse accounts that have not set up two step verification and are currently suspended. We consider them abandoned/unused. Paul and Jim discussed need to kick off a project to deal more broadly with alumni accounts in general. The first step is identifying all the stakeholders and convening a group to scope the project. A goal would be to improve the fidelity of Alumni information and review the value and risk associated with alumni accounts and develop alternatives and potential transition plans.
    • Password Expiration  for Delegated Accounts
      • It’s now been 6 months since office, organizational, and other accounts have begun using delegates and therefore are not logging in directly to those email accounts. Password expiration notices are occurring and we recommend passwords be changed.
  • ITS Operational Reports
    • Software Development
      • Marcia shared a number of project updates. A Content Document Imaging demonstration and meeting with Financial Services is scheduled for next Monday, 5/22 to gather information for Lexmark to propose a statement of work for the document imaging project. Custom Colleague batch accounts receivable billing is working again after the changes for the MS SQL database were made and tested. This customization saves data entry time for the Financial Services staff. Custom Colleague Alumni generation report is working again after changes for the MS SQL database were made and tested. This customization identifies relatives of current graduates for commencement. The Custom Colleague Alumni & Development reunion giving report changes for MS SQL are in progress. The Business Objects 4.1 upgrade work to enable 360 is in progress. It is otherwise complete. Lane is working with Ryan on the Library systems, Publications on Reason and the college website, and the Veteran’s website to complete the database-1 move to mysql server. Colleague self service production Norse Hub setup is in progress. Kristin & Danielle from the Registrar’s office and Jan from Student Accounts have access to the test Self Service system to use menu options for their functional areas. Faust and the Web Content team are testing and modifying the Reason ROAD integration with KATIE in preparation for the upgrade to Moodle 3.2 on May 26th.
