Notes from ITS Council - 4/12/17

  • New Items
    • 2-Step for New Students
      • We talked about options for the timing and process workflow for having new students set up 2-Step Verification for there new Norse Apps account. Can it be part of the ITS ROAD presentation? How about during orientation? Enforcement is the last day to add a class in the fall. More discussion with other stakeholders is required.
    • ITS Welcome Guides
      • We are making the Student Guide library content free prior to ROAD. A library building services guide is being considered but will not be ready for ROAD. We’ll turn our attention to the Employee Guide after the Student Guide is complete.
    • Faculty/Staff H Drives
      • We will keep the model “as is” for now. During the summer will resolve those (approximately 82) who have an H Drive on both admin1 and academic.
  • Returning Items
    • Update on Reeher
      • The first export of basic demographic information takes 1 hour to run. That time will increase as more complex data and calculations are added. Paul asked about where the bottleneck is. Is it disk I/Os or memory constraints or CPU constraints? Nate Ersig has scheduled weekly meetings for the work team starting next Thursday. We discussed working on authenticating Reeher to AD in parallel to the data exporting work. There will be approximately 20 users of the system.
    • Update on ROAD/Advising Sheet Readiness
      • Updatable views for the various departments making placements or adding information is on schedule.Faust is working with Nate and has a good start on the advising worksheet layout. We discussed just how the printing would occur. It would be valuable to support the Registrar’s Office printer. Two sets are required for each ROAD - one set is printed for the advisors and one set for the Registrar’s Office.
    • ePortfolio Tools
      • Two choices have been identified. We discussed the importance of dealing with the lifecycle and the supporting infrastructure the vendors offer as students transfer from students to graduates, the email accounts that would be used post graduation and the authentication and account transitions. It is important the the relationship post graduation be between the graduate and the vendor of the ePortfolio provider should students want to keep their ePortfolio post graduation. This transition has a good bit of complexity associated with it and we are interested in understanding what students are expected to do with the ePortfolios after graduation.
    • Summer Student Workers
      • We discussed hiring and allocation of summer student workers.
    • Software Maintenance Windows
      • We discussed current maintenance window times and whether the time window was sufficient. We also discussed use of the system maintenance calendar to communicate updates.  We discussed if Colleague represented any special considerations. At this point the window will remain as is and use of the calendar is opt-in. It is valuable for helping diagnose problems and understanding changes.
    • Year End Project Prioritization
      • We discussed plans and process for identifying remaining uncommitted funds and prioritizing projects and associate purchases.
    • LastPass for OFS
      • Jesse and Diane will be meeting with Jan, Andrew, and Peggy tomorrow (4/13/17). They have prepared to present on LastPass use and to set them up on Luther LastPass accounts
  • ITS Operational Reports
    • Network & Systems
      • Adam shared slides to show us how Airwave management software works and the sorts of information it provides in assist debugging and diagnosing wireless network problems.
    • User Services
      • Diane provided a number of updates on projects including workstation rolls, network drive cleanup, improvements to risk posture, plans for classroom technology upgrades, preparation for graduation recording and streaming.
