Notes from ITS Council - 3/15/17

  • New Items
    • Student H Drive Removal
      • Today, Juniors, Seniors, and a few Sophomores have an H Drive. With Google Drive in Norse apps plus some academic applications leveraging portable drives we are phasing out the H Drive idea for students. We discuss the possibility of developing a communication and technical process to remove them at the end of the semester as seniors graduate instead of waiting 2 years to work through the pipeline. This will further simplify some other migrations underway. The consensus is to move forward with this plan and decide how to notify students as the next step.
    • Staff Meetings
      • Our plan for presentation topics is March - Organizing Google Drive and in April - Separating Workstation Rights from Admin Rights. This schedule will enable some additional time to work the emerge Mac part of the solution into the presentation.
    • Cyber Risk Renewal Questions
      • We discussed responses to the questions asked by the renewal application for our Cyber Risk Insurance renewal.
    • Annual Evaluation Cycle
      • We received the notification of the annual cycle. Next week we will develop a schedule for our work.
  • Returning Items
    • Information Technology Acquisition Policy
      • A draft of the policy has been developed and reviewed within ITS. It has been shared with Amy and Eric to begin the process of establishing a new process.
    • STARS Evaluation
      • Thanks to the ITS team members that contributed information to the evaluation. It was great news to see the progress since the last evaluation. We talked about what else might be done to score even higher. Diane shared that an update from the food purchasing planning and waste meeting meeting. On the IT section we got a score of .98 out of 1, so there’s not much room for improvement there. Developing a process and investing to accept student e waste would potential increase the score .25 of 1 point.
    • ePortfolio Conversation
      • Another group has formed to look into ePortfolios. Marcia participated in a recent meetings of this group. They’ve shared their goal is to have a solution available by next fall and they are at the point of establishing requirements.
    • Baker Tilly Meeting
      • BT will host a meeting on Thursday, March 16th at 1:30 p.m. to begin the process of collecting materials and information.
  • ITS Operational Reports
    • Software Development
      • ITS is working with HR and OFS on the Self Service test environment that has been made available for review and feedback on the components for time entry and budget managers. Self Service is a new interface different than my.luther and needs a new name and URL that easy for students and staff to use and remember. Software Development is working with Users Services troubleshooting the FireFox browser 52 update causing problems for Colleague and Business Objects users. Internet Explorer is recommended by Ellucian. Matt is deploying work-around via Kbox to pilot group first, then all users. The Registrar's office and ITS will see a demonstration of Colleague Student Planning on Thursday morning. Ellucian is providing Colleague updates to support gender and chosen name, but Ellucian has not implemented all of the functionality yet.  The CORE group will need to meet when Colleague delivers functionality for us to define and test new codes. Jan Schnitzler and Jean Ryan are attending Ellucian live, eLive next Sunday-Wednesday in Orlando Florida. Jean is presenting a session on Colleague administration. Jean, Marcia and Faust met with Reeher about data fields and files for transfer on March 9th. The SFTP transfer site is setup and Dustin confirmed that the credentials work. Lane is planning to move REASON databases first on the database-1 to mySql server project and working with publications this week. eXplorance Blue course evaluations for 1st 7 week courses are in progress and complete on Friday 3/17/17. The ROAD soft launch was successful. Five of the select group of students completed the last process this past weekend! Admissions will mail packets to 250 students this Friday, 3/17 to complete the ROAD placement process. Great work by all who contributed to the new ROAD solution and special thanks for Tabita’s and Marcia’s leadership.
